We are seeking a highly organized and detail-oriented Project Coordinator to manage the Design Desk process and ensure the timely, accurate communication of project plans with clients. This role is critical in driving efficiency, maintaining up-to-date project plans, and fostering seamless collaboration between internal teams and clients.

(This is part-time, at least 20-25 hours with possibility of fulltime after performance reviews)

Key Responsibilities

Design Desk Management:

  • Oversee and operate the Design Desk process to create "shovel-ready" work packages for the professional services team.

  • Coordinate with internal stakeholders to gather technical requirements, documentation, and resources for project preparation.

  • Develop and maintain a repository of standardized templates, checklists, and workflows to streamline the Design Desk process.

  • Ensure accurate scoping and delivery timelines for all project designs.

Project Plan Coordination:

  • Create, update, and maintain detailed project plans, schedules, and milestones.

  • Collaborate with the Professional Services team to track project progress and address any roadblocks or resource gaps.

  • Monitor timelines and budgets to ensure projects remain on track and within scope.

Client Communications:

  • Serve as the main point of contact for project updates and communication with clients.

  • Provide regular progress reports, manage client expectations, and address questions or concerns.

  • Organize and lead client status meetings to review milestones, changes, and deliverables.

  • Document meeting minutes, action items, and next steps to ensure alignment between internal teams and clients.

Qualifications

Education:

  • Bachelors degree in Business Administration, Project Management, or a related field (preferred).

Experience:

  • 2+ years of project coordination or management experience, preferably in IT or professional services.

  • Familiarity with Monday.com or similar project management tools.

Skills:

  • Strong organizational skills with exceptional attention to detail.

  • Excellent written and verbal communication abilities.

  • Proficient in Microsoft Office Suite, including Excel and PowerPoint.

  • Ability to multitask, prioritize, and manage time effectively in a fast-paced environment.

Preferred Experience

  • Knowledge of the TruMethods framework or similar IT management philosophy.

  • Understanding of managed services, IT operations, or professional services projects.
