We are seeking a highly organized and detail-oriented Project Coordinator to manage the Design Desk process and ensure the timely, accurate communication of project plans with clients. This role is critical in driving efficiency, maintaining up-to-date project plans, and fostering seamless collaboration between internal teams and clients.
(This is part-time, at least 20-25 hours with possibility of fulltime after performance reviews)
Key Responsibilities
Design Desk Management:

Oversee and operate the Design Desk process to create "shovel-ready" work packages for the professional services team.

Coordinate with internal stakeholders to gather technical requirements, documentation, and resources for project preparation.

Develop and maintain a repository of standardized templates, checklists, and workflows to streamline the Design Desk process.

Ensure accurate scoping and delivery timelines for all project designs.
Project Plan Coordination:

Create, update, and maintain detailed project plans, schedules, and milestones.

Collaborate with the Professional Services team to track project progress and address any roadblocks or resource gaps.

Monitor timelines and budgets to ensure projects remain on track and within scope.
Client Communications:

Serve as the main point of contact for project updates and communication with clients.

Provide regular progress reports, manage client expectations, and address questions or concerns.

Organize and lead client status meetings to review milestones, changes, and deliverables.

Document meeting minutes, action items, and next steps to ensure alignment between internal teams and clients.

Qualifications
Education:

Bachelors degree in Business Administration, Project Management, or a related field (preferred).
Experience:

2+ years of project coordination or management experience, preferably in IT or professional services.

Familiarity with Monday.com or similar project management tools.
Skills:

Strong organizational skills with exceptional attention to detail.

Excellent written and verbal communication abilities.

Proficient in Microsoft Office Suite, including Excel and PowerPoint.

Ability to multitask, prioritize, and manage time effectively in a fast-paced environment.
